Group PA/Office Manager – Gael Force Group Ltd. (Inverness)

Gael Force Group, trusted manufacturer and supplier of equipment, technology and services to aquaculture, commercial fishing and leisure marine markets, is actively looking to recruit a Group PA/Office Manager based in our Inverness Head Office.  Last year, Gael Force were winners of Outstanding Performing Business Award at the Highland Business Awards following an increase of ca. 45% in turnover and the recruitment of more than 50 people across the business. The company has ambitious growth plans to reach £50M turnover by 2021.

For the role of PA/Office Manager, the successful candidate will report to the Group Financial Controller and will be responsible for providing high quality PA and administrative support principally to the Group MD and to other Company Directors as required, welcome guests and arrange hospitality, manage boardroom and meeting room diaries, and ensure good housekeeping and general office management.

Gael Force is offering a competitive salary in the range of £20,000 to £24,000 pro rata based on 40 hours a week.  The successful candidate will be offered flexibility to fulfil the role between 30-35 hours split over 5 days of the working week.  The salary offered will reflect of the experience and knowledge the candidate can bring to this excellent opportunity.  Staff discount, childcare vouchers and a contributory pension scheme is also offered.

 

Principle Duties and Responsibilities

• Provide a PA and support to the Group MD Management (including typing) of confidential correspondence, including composition of letters and emails on verbal instruction

• Reception of guests and visitors to Gael Force Group

• Organise meetings/venues/events and maintain diary for the Group MD.

• Ensure good office organisation and housekeeping

• Track and follow up tasks delegated by Group MD, including all routine reporting 

• Provide assistance in the gathering and production of information required by the Group MD

• Manage expenses for Group MD

• Provide administration support to other Directors and Senior Managers as required

• Act on own initiative as required in the absence of Group MD 

• Be able to access electronic diaries for other Directors and send meeting reminders

• Responsible for any travel accommodation arrangements as necessary

• Ensure all mail and telephone enquiries are dealt with timeously.

• Ensure all files and documents are accurate, up to date and filed

• Provide administration support to the Finance Team
